Canceling Subscriptions

Procedure for Canceled Subscriptions

These instructions apply to periodicals: generally, materials (1) received more frequently than annually, and (2) shelved in the periodicals collection.


  1. Cancel subscription on LANCE
  2. Count as withdrawn
  3. Update union list
  4. Record cancellation in xls

  1. Cancel subscription on LANCE
    1. In bibliographic record, delete 590
    2. In checkin record, add "NOTE:" field: "Subscription cancelled"
    3. If you have in hand the Rolodex card for the current item:
      1. Delete the current (tppci) item in LANCE
      2. Cross out the barcode on the Rolodex card
      3. Give to Marsha.

  2. Count as withdrawn
    1. Add hash mark under "Subscriptions Withdrawn" for each subscription cancelled.
    2. Add hash mark under "Titles Withdrawn" if and only if the cancelled subscription is the last subscription for that title. In general, Titles Withdrawn and Subscriptions Withdrawn should be roughly equal, with Subscriptions Withdrawn only slightly higher.

  3. Update union list
    1. Find record on Connexion Web.
    2. Choose: Action: Edit Local Holdings
    3. View local data record: "ldr"
    4. Change 008:Receipt or acquisition from 4 (currently received) to 5 (not currently received)
    5. Insert end vol. and end year in 863 $a and $i
    6. Choose: Action: Replace record

  4. Record cancellation in xls
    1. Open xls.uls file (in W:\_bc\Serialscataloging as of 10/18/2000)
    2. Open "change" sheet
    3. Enter title
    4. Enter volume numbers and years of coverage: "v. xx-xx (yr.-yr.)"
    5. Enter ISSN
    6. Under "OCLC" enter "x" to indicate that the union list has been updated.
    7. Beneath the title, indicate the reason why holdings are changing
