Cataloging for Truman ILL Staff
To catalog a book for ILL, you must create both a biblographic record and
an item record.
Creating a bibliographic record
- Select File.
- Select New.
- An "Open a template file" dialog box will open. Choose the
"ILL Bibliographic Record" template.
- Click "Open." A new bibliographic template will open.
- To enter the author, position the cursor in the same line as the label,
"AUTHOR." When your cursor icon becomes an insertion point, click
the mouse. If you still cannot type, press TAB and try again.
- To enter the title, do the same in the line with the label, "TITLE."
- To save the record, click the "Save Record" icon.
- The system will prompt you to "Perform duplicate checking." Select "No."
- The system will tell you that a new record has been added, and
give you a new record number. Click "OK." There is no need to record
the record number.
- When you have added your item record, you can exit the bibliographic
record by clicking on the "Cancel" icon.
Creating an item record
- From the bibliographic record, go to the item summary screen, either
by selecting the "Item" tab at the bottom of the bibliographic
screen, or by pressing F10.
- From the item summary screen, select the "New Item" icon.
- A "Choose a Template" dialog box will open, with the "07 Day ILL"
template as a default. To create a new 7-day item, click "OK."
Otherwise, Click "Browse."
- If you click "Browse":
- Choose an appropriate template from the list.
- Click "OK." This will return you to the "Choose a Template" box.
- Click "OK."
- A new item template will open. Add the 099 and barcode the same way
you added author and title to the bibliographic record.
- When you have added the barcode, the system will prompt you to perform
duplicate checking. Select "Yes."
- To save the item, click the "Save Record" icon.
- Exit the item record by clicking on the "Cancel" icon.
Deleting Records on GUIcat
To delete a bibliographic record, you must first delete any attached
records. This usually means item records. If any item records, order records,
or checkin records are attached to the bib record and you're not sure how or
why they got there, check with your supervisor before deleting.
- Open the record you wish to delete.
- Click the "Delete Record" icon.
- The system will ask you whether you are sure you want to delete the
record. If you are sure, select "Yes."
Logging on and logging out of GUIcat
Logging on to GUIcat while opening GUIcat
- Click on the icon for GUIcat, or select "Cataloging and Scanning
Workstation" from the menu, depending on how your machine is set up.
- A "Login to INNOPAC" box will appear. Enter your personal initials
and password (GUIcat does not require a system login and password."
- Click "OK." The system will "connect to the server," then "Get Resources,"
then open a search screen.
Logging on to GUIcat when GUIcat is already open
- Choose Connect.
- Choose Connect.
- Choose INNOPAC/Central Database.
- A "Login to INNOPAC" box will appear. Enter your personal initials
and password (GUIcat does not require a system login and password."
- Click "OK." The system will "connect to the server," then "Get Resources,"
then open a search screen.
Logging out of GUIcat
- Close all screens, especially any open bibliographic or item records.
- Choose Connect.
- Choose Disconnect.
- Choose INNOPAC.
- After you have logged out, you can exit the software by selecting File,
then Exit.
